Job Description

Being a top tier professional services firm, you will need to expect to deal with some emotionally-charged situations, and a constant sense of urgency - however this is a very supportive team environment, so as long as you have high emotional intelligence and are a team-player, this will be manageable.

The most important aspect of your job is ensuring that clients feel welcome - delivering a high-quality customer experience is imperative for this firm, and that will start with you. You will be dealing with clients who have high expectations of service and care, so everything must run smoothly. That means things like:

  • Carefully monitoring appointments so you know who will walk through the door and greeting them by name.
  • Quickly getting to know which clients like coffee and which like green tea (and remembering this).
  • Answering the phone promptly and being an understanding and empathetic or helpful ear.
  • Pre-empting meeting room conflicts and liaising with the secretaries to smooth out problems before they happen.
  • Maintaining awareness of staff movements so you can give clients honest, reliable responses to clients when they call.

You are doing so much more than answering phones, you will be the first part of the client-experience, and this must be a positive, professional experience. On top of answering phones and greeting clients, other things you will be involved in include:

  • Maintain Reception and meeting rooms in a pleasant, professional and welcoming state for guests.
  • Assist with data entry, such as timesheets.
  • Manage office supplies, mail, catering and other general administrative functions that make the office run smoothly.

The Successful Applicant

I am looking for someone with the confidence and experience to use their initiative and creativity to solve problems. As already mentioned, (but it's worth mentioning again), you will need high emotional intelligence and resilience for what can be a fast paced environment. You must be personable and approachable and know how to work in a team-oriented environment. On top of that; we are looking for someone who knows how to communicate effectively, both internally and with clients. It should go without saying (but we will say it anyway) that you must know how to maintain 100% confidentiality about everything you encounter at work - you will be exposed to highly sensitive information which absolutely cannot be shared. Other things we will be looking for include:

  • Corporate professional presentation, coupled with a clear and professional phone manner
  • High attention to detail (everything from taking clear and accurate messages to noticing a meeting conflict)
  • Experience in a highly professional, service-first environment
  • Exposure to corporate professional services environment would be preferred
  • Solid MS Office skills
  • Excellent organisation and time-management skills
